Products can be viewed and maintained via the Product Maintenance form.
This form can be accessed by clicking on the CP Catalogue option in the Purchasing menu:

Then selecting the CP Products menu option:

The Products Maintenance form will open:

This form allows you to search for and select the required Product.
The drop-down options to the right of the first four fields provide you with further options for the search. These are:
- Begins: The search should only include items that begin with the criteria added to the field.
- Contains: The search should only include items that contain the criteria added to the field.
- Ends: The search should only include items that ends with the criteria added to the field.
- Matches: The search should only contain items that match the criteria added to the field/
Add the relevant search criteria to the fields on the form as required.
Clicking on the
button will remove any search criteria added, the fields will revert to their original values allowing you to add fresh search criteria.
Click on the
button and a Grid will be displayed at the bottom of the form with Products that meet the search criteria - if no search criteria is added all available Products will be displayed:

New search criteria can be added and re-clicking on the
button will refresh the lines in the Grid with Products that meet the new search criteria.
Clicking on the
button will clear the field on the form and also now remove the Grid.
Select a Product Class by clicking on the link on the Product Code column in the Grid:

This will open the Edit Product form:

The fields and options on this form are:
- Product Code: This field displays the code for the Product and cannot be changed.
- Description: This field displayed the description of the Product and can be changed if required.
- Supplier: The Supplier's reference will be displayed in this field and cannot be changed.
- Supplier Name: The name of the Supplier will be displayed in this field and cannot be changed.
- Last Updated: This field will display the date and time the Product was last amended.
- Last Updated By: This field will display the user that last amended the Product.
- Product Type:Please ignore this field as this functionality is not currently being used.
- Detail Code: A Details Code may be added this field, which can be removed if required. A new Details Code can be added by clicking in the field and typing the new code. Alternatively a new code can be added by clicking on the Find Detail Code button, which is located at the end of the field,
. This will open the Find Detail Code form that will allow you to search for and select the required Detail Code. This form is further detailed in the Find Detail Code section. Once selected the Detail Code will be added to this field.
This Detail Code will be used as the default Detail Code when the Product is added to a Requisition, at which point it can be changed if required,
If no Detail Code is added to the Product then the Detail Code on the associated Product Class will be used when the Product is added to a Requisition, at which point it can be changed if required.
Where both the Product and the associated Product Class has a Detail Code, the Detail Code on the Product will be used.
- Internal Reference: This field is utilised when Catalogue Products are imported, as detailed in the Importing Catalogue Products section. For other Products this field can be used to include an internal reference that will further identify the Product. The details in the field can be changed if required.
- Requisition Class: This is the Requisition Class that the Product is associated with. A new Requisition Class can be added by clicking in the field and typing in the new Class. Alternatively clicking on the Find Requisition Class button, which is located at the end of the field,
will open the Find Requisition Class form that will allow you to search for and select the required Requisition Class. This form is further detailed in the Find Requisition Class section. Once selected the Requisition Class will be added to this field.
- External Reference: This field may contain an external reference that is used to further identify the product. A new external reference can be added if required.
- Product Class: The Product Class that is associated with the Product will be displayed in this field. A new Product Class can be added by clicking in the field and typing in the new Class. Please note: the Product Class must be associated with the Requisition Class that has been added to the Requisition Class field above, otherwise an error message will be displayed.
Alternatively clicking on the Find Product Class button, which is located at the end of the field,
, will open the Find Product Class form that will allow you to search for and select the required Product Class. This form is further detailed in the Find Product Class section. Once selected the Product Class will be added to this field.
- Contracted Level: Please ignore this field as the functionality is not being used.
- VAT Code: A VAT Code may have been added to this field. A new VAT code can be added from this drop-down list if you required. This VAT Code will be used when the Product is added to a Requisition. If no VAT Code is added to the Product, the VAT Code on the associated Product Class will be used when the Product is added to a Requisition.
- Asset?: Please ignore this option as the functionality is not currently being used.
- Catalogue?: This field will be populated with either Catalogue, Non-Standard or Template Product.
Where the Catalogue option is displayed, the Product will be included as a Catalogue Product when adding the Product to a Requisition. Adding Catalogue Products to a Requisition is further detailed in the Catalogue Products section.
Where the Non-Standard option is displayed the Product will be included as Non-Standard Product when adding the Product to a Requisition. Adding Non-Standard Products to a Requisition is further detailed in the Add Existing Non-Standard Products section.
Where the Template Product option is displayed the Product ca be used as a template from which other similar Products can be created.
The option on this field can be changed, if required.
- UOM: This field will display the Unit of Measure for the Product and can be changed if required. If the product is a Catalogue Product, Catalogue Load will be included in this field as well as the Unit of Measure. This will be the default Unit of Measure used when the Product is added to a Requisition and can be changed at this point if required unless the Product is a Catalogue Product in which case it cannot be changed.
- Standard Price: This field will display standard price for the Unit of Measure added to the UOM field and can be changed if required. This will be the default price when the Product is added to a Requisition and be changed at that point if required. unless the Product is a Catalogue Product in which case it cannot be changed.
- Supplier URL: See documentation - for product graphic? - check with Nathan whether we will be using this field.
- Long Description: This will be populated with the details added to the Description field as detailed above. Add further details to this text box to provide more details if required.
- Active: This option will be selected by default. Deselect this option if the Product is not to be added to a Requisition.
