Asset Classifications are maintained on the AM Control Data Maint form, which can be accessed via the AM Control Data form.
Select the Financials option on the Financials Web Main Menu:

Then select the Financials Admin menu option:

Then select the Assets Admin menu option:

Then select the AM Control Data menu option:

The AM Control Data form will open:

Select the Asset Classifications option in the Control Data Type field.
Click on the
button and a Grid will be displayed at the bottom of the form that will include all current Asset Classifications :

Selecting the Filter option on the form will allow you to add further search criteria:

Add search criteria to these fields as required and clicking on the
button will refresh the Grid with Asset Classifications that meet the search criteria.
The following buttons are available:
: Changing the search criteria in the filter fields and clicking on this button will refresh the Grid with Asset Classifications that meet the new search criteria.
Alternatively a different option can be selected in the Control Data Type field and clicking on this button will refresh the Grid and change the Filter fields for the selected type.
: Clicking on this button will clear all the fields, remove any Filter fields as well as any Grid at the bottom of the form. The initial AM Control Data form will be displayed allowing you to add fresh details.
To edit an Asset Classification, click on the Edit link on the required Asset Classification Line in the column to the far left of the Grid

The AM Control Data Maint form will open:

The fields and options on this form are as follows (mandatory items are notated with a red asterisk *):
- Code: This field will contain a unique code for the Asset Classification, which cannot be amended.
- Asset Classification: This field will contain the description for the Asset Classification and can be amended if required.
- Order In Hierarchy: This field is used in conjunction with the Class Hierarchy field, detailed immediately below, and the number in this field will determine where the Asset Classification will appear on the list in an Asset Classification drop-down field on a form in the Asset Management module. The lower the number the higher the Asset Classification will appear in the Class Hierarchy - and the higher it will appear in the drop-down list. The number on this field can be changed if required.
- Class Hierarchy: Pre-defined Class Hierarchies are provided in the Asset Management module and cannot be amended. The Class Hierarchy will determine where the Classification appears on the list an Asset Classification drop-down field on a form in the Asset Management module.
One of the following options will be included in this drop-down field and can be changed by selecting another option if required:
- Heritage Assets
- Operational Assets
- Non-Operational Assets
- Investment Properties (Non-Operational)
- Non-Current Assets Held for Sale
- Assets Under Construction (Non-Operational Assets)
- Intangible Assets
Selecting the Heritage Asset option will ensure that the Asset Classification appears near the top of the drop-down list, while selecting the Intangible Assets option will ensure that the Classification appears near the bottom of the drop-down list.
This field is used in conjunction with the number added to the Order in Hierarchy field, as detailed immediately above. The number added will determine where in the Class Hierarchy the Asset Classification will be displayed when there is more than one Asset Classification included in the hierarchy. For example if there are 20 Asset Classification included in the Heritage Assets Class Hierarchy, adding 1 to the Order In Hierarchy field will ensure that it is at the top of the drop-down list. Adding a higher number , e.g. 18, will ensure that is lower down in the list - but not as low as any of the Asset Classifications in any other Class Hierarchy.
- Suspended: This option should only be selected if the Asset Classification is no longer to be used when creating new Assets. It can be selected and deselected as required.
The following buttons are available:
: Clicking on this button will save changes that have been made to the Asset Classification. The AM Control Data Maint form will close and you will be returned to the AM Control Data form - the changes made to the Asset Classification will be displayed in the Grid at the bottom of this form.
: Click on this button to delete the Asset Classification. A further screen will be displayed asking for confirmation that the Asset Classification is to be deleted. Please note: an Asset Classification cannot be deleted where it has been added to an Asset with a status of at least
, but it can still be suspended by selecting the Suspended option, detailed above.
: Clicking on this button will close the screen and no changes will be made to the selected Asset Classification. You will be returned to the AM Control Data form.
