Maintaining Basis of Valuation

The Basis of Valuation provides details on how an Asset has been valued, e.g. Open Market Value, Existing Use Value, Historic Cost.  The details are for information purposes only and can be added to individual Asserts via Asset Types and can be changed when creating or amending Assets on the AM Asset Maintenance form.

These can be viewed and maintained on the AM Control Data Maint form, which can be accessed via the AM Control Data form.

Select the Financials option on the Financials Web Main Menu:

Then select the Financials Admin menu option:

Then select the Assets Admin menu option:

Then select the AM Control Data menu option:

The AM Control Data form will open:

Select the drop-down on the Control Data Type field and a list of options will be available for selection:

Select the Basis of Valuation option and click on the  button.  A Grid will be displayed at the bottom of the form that includes all the current Basis of Valuation:

Selecting the Filter option on the form will allow you to add further search criteria:

Add search criteria to these fields as required and clicking on the  button will refresh the Grid with Units of Measure that meet the search criteria.

The following buttons are available:

• : Changing the search criteria in the filter fields and clicking on this button will refresh the Grid with Basis of Valuations that meet the new search criteria.

Alternatively a different option can be selected in the Control Data Type field and clicking on this button will refresh the Grid and change the Filter fields for the selected type.

• : Clicking on this button will clear all the fields, remove any Filter fields as well as any Grid at the bottom of the form.  The initial AM Control Data form will be displayed allowing you to add fresh details

To edit a Basis of Valuation, click on the Edit link on the required Basis of Valuation Line in the column to the far left of the Grid:

The AM Control Data Maint form will open:

The fields and options on this form are as follows (mandatory items are notated with a red asterisk *):

• Code: This field will contain a unique code for the Basis of Valuation, which cannot be amended.
• Basis of Valuation: This field will contain the description for the Basis of Valuation and can be amended if required.
• Order: A number will be included in this field to determine where the Basis of Valuation appears in the list on a Basis of Valuation drop-down field on a form in the Asset Management module.  The lower the number, the higher it will appear in the drop-down list, e.g. if 1 is added it will be near the top of the list, if 20 is added it will appear lower down the list.

Where a number is included it can be changed if required.

The number appears in the Grid on the AM Control Data form:

Where the Order field on the AM Control Maint form is left as blank when the Basis of Valuation is amended it will automatically be populated with 0 (zero).

• Suspended: This option should only be selected if the Basis of Valuation is no longer to be used.  It can be selected and deselected as required.

The following buttons are available:

• : Clicking on this button will save changes that have been made to the form.  The AM Control Data Maint form will close and you will be returned to the AM Control Data form - the changes made to the Basis of Valuation will be displayed in the Grid at the bottom of this form.
• : Click on this button to delete the Basis of Valuation.  A further screen will be displayed where you confirm that the Basis of Valuation is to be deleted.  Please note: a Basis of Valuation cannot be deleted where it has been added to an Asset Type, but it can still be suspended by selecting the Suspended option, detailed above.
• : Clicking on this button will close the screen and no changes will be made to the selected Basis of Valuation.  You will be returned to the AM Control Data form.
